Please read these Terms & Conditions carefully before using the Phoenix Tour website or booking any of our services. These terms constitute a legally binding agreement between you and Phoenix Tour LLC.

1. Acceptance of Terms

By accessing or using the Phoenix Tour website and services, you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, you must not use our website or services.

These terms apply to all visitors, registered users, and customers who book tours through our platform.

2. Definitions

  • “Company”, “we”, “us”, “our” refers to Phoenix Tour LLC, registered in the Republic of Armenia.
  • “Customer”, “you”, “your” refers to any person or entity using our website or booking our services.
  • “Services” refers to all tours, travel packages, activities, and related services offered by Phoenix Tour.
  • “Booking” refers to a confirmed reservation for any of our services.

3. Booking and Reservations

When you submit a booking through our website, you are making an offer to purchase the selected tour or service. A booking is confirmed only when you receive a written confirmation from us via email.

  • All bookings are subject to availability and confirmation by Phoenix Tour.
  • You must provide accurate and complete information when making a booking. Incorrect information may result in additional charges or cancellation.
  • The person making the booking must be at least 18 years of age and accepts responsibility for all travellers included in the booking.
  • Group bookings (10 or more travellers) may be subject to different terms. Contact us directly for group arrangements.

4. Pricing and Payment

A 10% non-refundable deposit is required at the time of booking to confirm your reservation. The remaining balance is due no later than 40 days before the tour departure date, unless otherwise specified.

5. Cancellation and Refund Policy

Cancellations must be submitted in writing via email to info@phoenixtour.am. The following cancellation fees apply based on the number of days before the tour departure:

Free Cancellation

Cancellations are free of charge if made 40 days or more before arrival, unless special conditions apply (peak periods, events, or specific hotel rules).

Deposit Requirement

A 10% non-refundable deposit is required at the time of booking to confirm the reservation. The remaining balance must be paid no later than 40 days before the tour departure date, unless otherwise specified.

All fees apply to the total value of booked tourist services, including applicable taxes.

Important Notes

  • No refunds for unused services or no-shows.
  • No refunds in case of entry refusal due to documentation or legal issues.

Force Majeure

We are not liable for delays or cancellations caused by events beyond our control, including natural disasters, war, strikes, epidemics, or government restrictions.

Affected parties must notify each other within 3 days of such events.

Travel Requirements

  • Travel insurance covering the Caucasus region is required.
  • Customers must inform us in advance of any medical conditions requiring special assistance.
  • All personal damages or legal violations are the responsibility of the traveller.

We strongly recommend purchasing travel insurance to cover cancellations due to unforeseen circumstances.

6. Changes to Bookings

Requests to modify a booking (including travel dates, number of travellers, or tour type) must be submitted in writing. Any changes requested within 30 days prior to departure are subject to availability and may incur additional charges, which could be up to 100% of the service cost.

7. Tour Cancellation by Phoenix Tour

In rare circumstances, we may need to cancel a tour. This may happen due to:

  • Insufficient number of participants to operate the tour safely.
  • Force majeure events (natural disasters, political instability, pandemics, government restrictions).
  • Safety concerns beyond our reasonable control.

If we cancel a tour, you will receive a full refund or the option to rebook on an alternative date at no additional cost. We are not liable for additional expenses such as flights, visas, or accommodation booked independently.

8. Travel Documents and Requirements

  • You are responsible for ensuring you have valid travel documents (passport, visa, health certificates) required for your trip.
  • Phoenix Tour is not liable for denied entry, deportation, or additional costs due to missing or invalid travel documents.
  • We recommend checking the latest entry requirements for the Republic of Armenia and any neighbouring countries included in your itinerary.
  • Failure to comply with entry requirements or provide valid documentation will be treated as a no-show and is non-refundable.

9. Health and Fitness

Some tours involve physical activities such as hiking, walking on uneven terrain, or high-altitude travel. You are responsible for:

  • Assessing your own fitness level and choosing tours appropriate for your physical condition.
  • Disclosing any medical conditions, allergies, or dietary requirements at the time of booking.
  • Carrying necessary medication and personal health supplies.

Phoenix Tour reserves the right to refuse participation if a traveller's condition poses a risk to themselves or the group.

10. Liability and Limitation

  • Phoenix Tour acts as a tour operator and may engage third-party providers (hotels, restaurants, transport companies, local guides) to deliver services. We carefully select our partners but are not liable for their acts, omissions, or negligence.
  • We are not liable for loss, damage, injury, delay, or additional expense caused by events beyond our control, including but not limited to natural disasters, strikes, civil unrest, government actions, epidemics, or mechanical failures.
  • Our total liability for any claim arising from a booking shall not exceed the total amount paid by you for that booking.
  • We strongly recommend travel insurance covering medical emergencies, trip cancellation, lost baggage, and personal liability.
  • Customers acknowledge that participation in tours involves inherent risks, and by booking with Phoenix Tour, they accept full responsibility for their participation.

11. Intellectual Property

  • All content on the Phoenix Tour website — including text, photographs, graphics, logos, videos, and design — is the property of Phoenix Tour or its licensors and is protected by copyright law.
  • You may not reproduce, distribute, modify, or use any content from our website without prior written permission.
  • User-submitted content (reviews, photos) grants Phoenix Tour a non-exclusive, royalty-free licence to use, display, and share such content for promotional purposes.

12. Behaviour

All customers are expected to behave in a respectful and lawful manner and to comply with the regulations of the countries visited. Behaviour that causes or is likely to cause distress, danger, inconvenience, or damage to property, or disrupts the experience of other travellers, will not be tolerated.

Phoenix Tour reserves the right to terminate a booking or remove any customer from a tour without refund if such behaviour occurs. In such cases, our liability will cease immediately, and no refunds or compensation will be provided for unused services.

Customers are responsible for any damage or loss caused by their actions and may be required to cover all associated costs directly.

13. User Accounts

  • You are responsible for maintaining the confidentiality of your account credentials and for all activities under your account.
  • Notify us immediately if you suspect unauthorised access to your account.
  • We reserve the right to suspend or terminate accounts that violate these terms, engage in fraudulent activity, or misuse our services.

14. Governing Law and Disputes

These Terms & Conditions are governed by and construed in accordance with the laws of the Republic of Armenia.

Any disputes arising from these terms or your use of our services shall first be resolved through good-faith negotiation. If unresolved, disputes will be submitted to the competent courts of Yerevan, Armenia.

15. Changes to These Terms

We may update these Terms & Conditions from time to time. Changes will be posted on this page with a revised date. Continued use of our website and services after changes constitutes acceptance of the updated terms. We encourage you to review these terms periodically.
